Our Terrace location is seeking an experienced Administrative Assistant to support our diverse operations. This is a full-time position, Monday to Friday in office.
Description:
Reporting to the Base Manager, the FBO Administrative Assistant works in close collaboration with management and head office to facilitate fuel operation support and administrative tasks.
Responsibilities:
• Organize invoices, accounts payable, and aircraft billing; prepare monthly reports; assist with budget administration; and facilitate supplies and equipment needs as required.
• Perform general administrative and operations support duties, including but not limited to:
o Prepare documents and letters, filing, faxing, scanning, photocopying, lamination, etc.
o Assist with YXT employee work schedule upload to Ceridian Dayforce and provide timesheet support as required.
o Order goods and supplies as needed or as requested for the facility operation.
o Answer the telephone and direct incoming calls and guests.
• Create, track, analyse, and report weekly and monthly logistics key performance indicators (KPIs).
• Perform administrative and reporting duties including data entry, document preparation, record maintenance, WestJet billables, KPI tracking, meeting preparation, and daily, weekly, and monthly Service Request System (SRS) entries in support of Accounts Receivable.
• Complete SRS corrections on a daily basis.
• Assist with Airport Authority to ensure RAP compliance and AVOP testing.
• Assist pilots at the FBO for Charter and Medi-vac operations.
• Maintain safety documentation, complete inspections, compliance checks, and SMS reports, and support corrective actions as directed.
• Participate in Health & Safety and Quality programs, including HSC meetings, emergency drills, ERPs, and internal safety communications.
• Maintain a tidy and orderly work area exhibiting pride in work performance and contributing to a healthy and safe work environment.
• Ensure exceptional, courteous, and respectful customer service.
• Comply with and participate in the Company’s Health & Safety and Quality programs and initiatives.
• Perform any other duties as required.
Experience and Qualifications:
• Completion of a certificate or diploma in a related field is preferred.
• Minimum of two years administrative experience required.
• Minimum of two years customer service experience required.
• Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint is required.
• Previous work experience in the aviation field is preferred.
• A valid Class 5 Driver’s License is required.
• Airport Security Clearance and Driver’s Abstract is required as a condition of employment.
• Highly motivated and able to work independently as well as in a team environment.
• Well-developed time management skills with the demonstrated ability to meet/exceed deadlines.
• Strong written, verbal, and interpersonal skills to communicate with all levels of the organization.
• Professional appearance and behaviour while providing superior customer service.
• A high level of confidentiality is required.
• Strong attention to detail and a high degree of accuracy.
• Sound analytical thinking, planning, prioritization, and execution skills.
• Professional, punctual, meticulous, and diligent.
